How it works

From first contact to a complete file.
In the order it happens.

  1. Bring in the list you already have

An Excel sheet or a CSV comes in over three steps, and you see every row before saving. Plans, classes left and families come with it. On paid plans, a plan with a similar name is matched to yours, and you confirm it.

  2. Follow people who are still trying you out

Prospect, trial, client, at risk: everyone has a stage, and the list filters by it. When someone becomes a client, they keep the same file.

  3. Open the file before you reply

Current plan, classes used, next class, attendance rate and payments. Your team’s notes and tasks sit there too, dated and signed. A T-shirt or an assessment is charged right there, as a one-off amount.

  4. Call the people who stopped coming

Follow-up gathers members who have not trained in weeks, plans about to end and repeated no-shows. Anyone who stopped coming is listed with a phone number.

In your week

You already do this.
Here it is the same work, in one place.

Each row is a task you already do. What changes is where it lives.

  • Checking someone’s plan

Without a systemIt sits in a spreadsheet, a notebook or someone’s memory.

In RummoIt is at the top of their file, with the classes already used.

  • Noticing who stopped coming

Without a systemYou notice when someone asks after them.

In RummoFollow-up lists who has not trained in weeks, with a phone number.

  • Passing a note to the team

Without a systemIt stays in a chat, or on the phone of whoever wrote it.

In RummoIt goes on the file, dated and signed.

  • Moving members from another system

Without a systemCopied one person at a time.

In RummoThe sheet comes in at once, with its columns recognised. You see every row before saving.

With the agent

Or ask the agent.
It answers with your space’s numbers.

It comes on Pro and Max. Whatever it proposes only runs when you press Confirm.

  • “Who has stopped coming in the last two weeks?”

Members who trained before and have not been in for two weeks or more. The longest absence comes first.

  • “How is Rita Fernandes doing?”

Her plan, attendance and no-shows, the last time she came and what she owes.

  • “How do I import members from Excel?”

The import steps, and a button straight to the member import.

  • ProposesGive a plan to someone on a trialThe same as Assign plan on the member’s file. They pay in the app or at the space.

Limits

What this part does not do

When a limit is lifted, it comes off this list.

  • Custom fields

They do not exist yet. Use a tag or a note for anything else.

  • History from your old system

The import brings members, plans and classes left. Past attendance and payments stay in the system you are leaving.

  • Exporting plans

The CSV export brings your members. Plans cannot be exported to a file yet.

  • Health data

Notes are for operations. The form itself asks you not to record injuries or health data.

Questions about members

Which plan is Members on, and what does it cost?
Every plan, including Lite, which is free up to 10 active members, with no card and no time limit. Beyond that, Pro starts at €29 a month + VAT.
Can I start on Lite and move to Pro later?
Yes, and nothing is lost. The owner starts a 14-day Pro trial from the Plan tab in Settings. Paid features switch on straight away, and a card is only needed before the 14 days are up.
Can my coaches see members’ payments?
No. Coaches cannot open member files or the finance area. The finance role sees amounts, and the front desk sees what is still to be collected.
I have years of history. Do I lose it?
Members and plans come in through the import, with the classes left on each pack. Past attendance and payments stay where they are, for reference.
Can I track people who are not members yet?
Yes. A lead joins the list as a prospect, then moves to trial and client on the same file.
Can members sign a waiver?
Yes, on paid plans. They sign on screen, in the app or through a QR code with no account needed. The file shows whether it is valid.
Can I delete someone’s data?
Yes. The file downloads a person’s data and deletes it on request, as GDPR requires.
I imported a test sheet. How do I undo it?
In Members, the owner can delete everyone who was never used. The list of who goes is shown before the button. It only removes files with no account, no payments, no waiver and no attendance.
